Enquiry Privacy and Data Routing Policy
This Enquiry Privacy and Data Routing Policy explains how Caribbean Anchor Limited handles information submitted through enquiry forms and direct-contact tools on www.caribbeananchor.com. It supplements the primary Privacy Notice and reflects the current controlled-review process: Caribbean Anchor receives and reviews an enquiry before deciding whether a relevant authorized partner should receive information needed to respond.
1. Purpose and scope
This Enquiry Privacy and Data Routing Policy (the “Enquiry Policy”) governs the collection, processing, review, and management of user communications submitted through enquiry forms and direct-contact tools hosted on www.caribbeananchor.com (the “Platform”).
Caribbean Anchor Limited (“we”, “our”, or “us”) is a registered limited company in Antigua & Barbuda and operates as a digital directory and marketplace bridge. This policy supplements our primary Privacy Notice by explaining how details and message contents are handled when you request information about property opportunities, legal or professional services, or a partner or development presented through the Platform.
The Platform does not treat an enquiry as a reservation, offer, contract, attorney-client relationship, financial-advisory engagement, or guarantee of a response. Property is distinct from a Listing, and a category or development-level enquiry does not guarantee that a particular unit or service is available.
2. Data controller and initial data collection
Caribbean Anchor Limited is responsible for the initial collection and handling of enquiries submitted through the Platform, subject to applicable data-protection law.
Current enquiry forms require your name, email address, selected contact preference, message, and explicit consent. Telephone or WhatsApp details are optional. Where applicable, we also preserve the selected Property or Listing, source or referral and campaign information, request or session identifiers, consent evidence, and timestamps. The Platform does not use title, country of residence, passport, billing, or service-directory profile fields as public enquiry-form requirements.
Operational records may include an assigned owner, due date, handling status, delivery or handoff history, and audit information. Necessary hosting, security, and abuse-prevention logs may also be created. We do not use Google Analytics, advertising pixels, IP-personalized currency, or automated partner feeds as part of the current enquiry process.
3. Review, routing, and third-party recipients
An enquiry is first received by Caribbean Anchor. An operator reviews it before any external handoff, including the current price or availability where relevant, the representative’s authority, the nature of the request, and the appropriate recipient. The Platform does not automatically email an external agent, seller, lawyer, or service provider when a form is submitted.
After review, relevant information may be shared with an authorized developer, vendor, owner, agency, agent, or professional adviser needed to respond to the request. Any handoff should remain attributable to the enquiry and should be limited to information reasonably needed for that response. A partner that receives information may have its own legal responsibilities as an independent controller or other legally defined recipient; the correct status depends on the particular arrangement and must not be assumed without review.
For a Property or Listing enquiry, the recipient may be the authorized party responsible for the current opportunity. For a professional or partner enquiry, the recipient may be the relevant authorized practice or account contact. Caribbean Anchor does not represent that every category is populated, that a recipient will accept the request, or that a handoff will occur.
Your enquiry consent covers review, reasonable follow-up, and a relevant handoff where one is made. It does not create consent for unrelated mass marketing. No marketing opt-in or newsletter service is currently active.
4. Purposes and legal basis for enquiry processing
We use enquiry information to receive and understand your request, confirm the relevant Property or Listing context, review authority and current information, communicate with you, arrange an appropriate introduction where justified, maintain an operational record, protect the Platform from spam or abuse, and investigate delivery, security, or service disputes.
Depending on the facts and applicable law, processing may be based on your consent, steps taken at your request toward a service or introduction, performance of an agreement, compliance with a legal obligation, or another lawful basis recognized by applicable data-protection law. The Antigua and Barbuda Data Protection Act, 2013 includes consent and certain contract-related grounds, but this policy is not a legal opinion and the applicable basis should be confirmed for the live form and each material processing activity.
Where consent is requested, the form should record the consent version, time, and relevant request context. You may withdraw optional consent or ask us to stop a proposed follow-up, but withdrawal does not undo processing already carried out or prevent processing that remains necessary for security, legal, audit, or dispute purposes.
5. Data storage, retention, and security
Enquiry records are stored in our operational systems for review, response coordination, audit history, dispute handling and security. Services include Supabase in the United States west region, Vercel hosting and Resend transactional email; this involves processing outside Antigua and Barbuda.
We retain records for as long as reasonably necessary for the enquiry, follow-up, legal and audit obligations, dispute handling and security. Retention differs by record type and applicable obligation; there is no automatic twelve-month deletion commitment.
Access to enquiry records is restricted to authorized personnel and controlled through the Platform’s operational access rules. The enquiry process uses transport encryption in transit where supported by the relevant service. No internet service is risk-free. Do not submit passports, identity documents, bank information, payment-card details, or other high-risk records in a public message field; a suitable secure document route should be arranged if such material is later required.
Caribbean Anchor does not sell, lease, or trade enquiry information to unauthorized advertisers or data brokers.
6. No guarantee of third-party responses and disclaimer
Caribbean Anchor reviews enquiries and may arrange a relevant introduction, but it does not control the independent business operations, availability, advice, response times, or response obligations of a third-party recipient.
We do not guarantee that a recipient will respond, respond within a particular time, accept an instruction, maintain a price or availability statement, or provide any professional service. A handoff is not an endorsement or compliance guarantee.
Submitting an enquiry does not establish an attorney-client relationship, financial-advisory engagement, tax-advisory relationship, immigration engagement, or binding real-estate purchase contract between you and Caribbean Anchor or any recipient. Obtain advice from the qualified professional or authority responsible for the decision.
7. Your statutory rights
Subject to applicable law and exemptions, you may request access to enquiry data, correction, deletion where applicable, or an explanation of handling. You may withdraw optional consent without invalidating earlier lawful processing.
A request concerning data held by a recipient after an authorized handoff should be directed to that recipient as well as to Caribbean Anchor. Caribbean Anchor can explain or act on the records it controls, but cannot promise to amend or delete a third party’s independent records.
To protect the record and prevent unauthorized disclosure, we may need to verify the identity and authority of the person making a request. This policy does not limit any mandatory rights or remedies available under applicable law.
8. Contact us and enquiry disputes
To request access, correction, deletion where applicable, or an explanation of enquiry handling, or to report a fraudulent property or Listing presentation or an unanswered enquiry, use the Caribbean Anchor contact route and mark the message “Privacy request” or “Enquiry dispute”. The current site directs these requests through the Work with us contact route while a dedicated privacy mailbox and final registered-business contact details are confirmed.
For privacy requests or disputes, use sales@caribbeananchor.com, +1 268 721 3056, or our company address: Justice Chambers, 2nd Floor, Sonia King Building, St. Mary's Street, P.O. Box 1155, St. John's, Antigua & Barbuda.
We will not ask for passwords, authentication tokens, or confidential client databases through an introductory enquiry. Do not send high-risk identity or financial documents through an ordinary form or email unless Caribbean Anchor has first provided an appropriate secure route.
